Overall Job Purpose:

To support effective monitoring, evaluation, and reporting of bursary programmes through the management of student and programme data, performance tracking, and the production of accurate, timely, and insightful reports. This role ensures data integrity, facilitates evidence-based decision-making, and supports compliance with internal requirements and external stakeholder reporting obligations.

Duties and Responsibilities:
Data Management & Dashboards

  • Manage bursary databases and information management systems.
  • Develop, maintain and continuously improve bursary dashboards to provide real-time insights into programme performance
  • Ensure data accuracy, quality, integrity, and consistency across all reporting platforms.
  • Analyse and interpret data to provide actionable insights.
  • Integrate academic, financial, and wellness data into centralised reporting tools.
  • Support system enhancements and process improvements.

Monitoring & Evaluation

  • Develop and maintain monitoring frameworks and tracking tools.
  • Monitor the implementation of bursary programmes against approved plans, targets, budgets, and performance indicators.
  • Track programme activities, outputs, outcomes, and impact to ensure alignment with organisational and funder objectives.
  • Track and analyse academic progression, performance, and completion rates of funded students
  • Identify trends, risks, and areas for intervention, planning and decision-making through data analysis.
  • Monitor compliance with bursary conditions, academic performance requirements, and contractual obligations.
  • Refer students to the wellness centre as required.
  • Arrange check-in sessions with bursary students as required.
  • Conduct periodic reviews of bursary programme outcomes and impact.

Reporting

  • Compile and submit monthly, quarterly, annual and ad hoc reports for internal stakeholders, management and funders as required but covering:
  • Financial performance, Academic progress, Student wellness indicators and specific contractual reporting obligations and reporting schedules.
  • Prepare and present monitoring and evaluation findings to management, funders, and other stakeholders.
  • Maintain reporting schedules and reporting calendars.

Compliance & Data Governance

  • Maintain accurate records for compliance, audit, and performance tracking purposes
  • Ensure adherence to organisational policies, data protection policies, and confidentiality standards.
  • Develop, implement, and maintain data governance practices that support the effective management of bursary programme information.
  • Conduct regular compliance reviews and assessments to identify gaps, risks, and areas for improvement.
  • Support audit processes by providing required documentation and data.
  • Implement corrective actions and monitor the resolution of identified compliance issues.
  • Maintain a compliance register and monitor compliance-related risks and mitigation plans.
  • Ensure all programme activities are conducted ethically and in accordance with institutional governance standards.
  • Contribute to annual reviews, strategic planning processes, and funding renewal submissions


Stakeholder Engagement

  • Collaborate with programme managers, finance teams, student support services, academic departments, and other internal stakeholders to collect, validate, and consolidate programme and student performance data.
  • Build and maintain productive relationships with funders, sponsors, donors, government/private agencies, and other external stakeholders to support effective programme delivery and reporting.
  • Identify stakeholder information needs and develop reporting solutions to address these requirements.
  • Participate in stakeholder meetings, reporting reviews, and programme performance discussions.
  • Contribute to the development and implementation of stakeholder engagement and communication strategies.
  • Provide data-driven insights to support decision-making and programme improvements

Minimum Educational Requirement:

  • Bachelor’s degree (NQF level 7) in Data Analytics, Statistics, Monitoring & Evaluation, Finance, or a related field

Minimum Work Requirement:

  • 3 – 5 years experience in data analysis, reporting, or monitoring & evaluation.
  • 3 years experience working with education, bursary, or development programmes is advantageous.
